How to connect
You connect OpenAI from inside Roiva, so you need a Roiva workspace first. Sign in to connect it now. New to Roiva? Take the free assessment and create your workspace at the end, or request an invite.
- In OpenAI: Sign in as an organization owner and go to platform.openai.com/settings/organization/admin-keys
- In OpenAI: Create an Admin key (starts with sk-admin-) — a regular project or user API key cannot read usage or cost
- Back in Roiva: Paste the Admin key here and save the connection
- Back in Roiva: The connection page checks each step and says what's missing. Once it's all ticked, click Test Connection
- Back in Roiva: After connecting, link this connection to an initiative on the Initiatives tab
Tips for capturing value
- Usage data is available for the past 90 days via the API — older data requires exporting from the OpenAI dashboard
- Spend comes straight from OpenAI's billing, so it matches your invoice rather than being estimated from token counts
- Cost-per-unit (per document, per call, per user) is more meaningful than total cost for ROI measurement
- Pairing OpenAI cost data with outcome data from HubSpot, Zendesk, or Stripe gives you a complete ROI picture
- If you also map OpenAI's invoice to the same initiative in QuickBooks, Xero, NetSuite, Brex or Ramp, the invoice is left out in any month this connection books, because it carries the whole OpenAI bill and this connection books OpenAI's own cost report, for the projects this link claims. An allocation rule for OpenAI, or a locked period, keeps the invoice instead, and this connection books nothing that month
