Using the Roiva Assistant

The Roiva Assistant answers questions about your initiatives, ROI and integrations, and about how Roiva works. It can also make changes for you, such as recording a cost or drafting a value entry, with the same permissions you have in the app.

Opening it

Choose Assistant in the sidebar. It opens in a panel on the right of the page you're on, and picks up your most recent conversation. Type a question and press Enter (Shift+Enter starts a new line).

The panel's header has:

  • New chat, to start a fresh conversation.
  • Recent conversations, your last few conversations, with a link to all of them.
  • Open in full view, which moves the conversation to a full page. The full page lists your conversations, with a search box, and each one's … menu has Rename and Delete.

Your conversations are private to you. Other people in the account can't see them.

What it can look up

  • Your initiatives, and one initiative's stage, owner, planned figures, approved value, total cost and recent notes.
  • ROI, for the portfolio or one initiative, over a reporting period (all time unless you name one, as on the ROI dashboard): approved value, total cost, net value, ROI and the CapEx / OpEx split.
  • Your connections, their status and when each last synced.
  • Anything the search at the top of the page finds: initiatives, pages, metrics, connections, vendors, people, templates and help articles.
  • These help articles. For a "how do I" question it opens the matching article and links it, and says so when no article covers the question.
  • Each platform's setup guide, the same steps the connect form shows. Ask "how do I connect Zendesk?" and it gives those steps, where to find the credential, and the page to connect from.

On an initiative's Overview or Activity tab it knows which initiative you're looking at, so you can ask about "this initiative". Elsewhere, name the initiative.

What it can do for you

  • Create an initiative, or change one's title, description, category, priority or planned figures. If an initiative with that title already exists, it asks whether you mean that one.
  • Add a note to an initiative's activity feed.
  • Record a cost on an initiative.
  • Record a value entry. It's always saved as a draft: it counts toward ROI only after someone approves it (see Approving value and initiatives).
  • Record a reading for a metric your account already has.
  • Move an initiative through its stages: submit it for review, approve or reject it, advance, complete, pause, resume or dismiss it. Rejecting needs a reason, which the initiative's owner sees.
  • Start a sync for a connection.

It asks you to confirm before it changes a stage or starts a sync, and afterwards it tells you what it did, with a link where there is one.

It can't approve value entries, delete anything, change settings, or invite people. Do those in Roiva itself.

It acts with your permissions

Everything the Assistant does is checked the same way as when you do it yourself, so it can't do anything you couldn't:

  • Approving, rejecting or dismissing an initiative follows your account's approval rules: an initiative's named approvers, the Owner above the approval threshold, and delegations. If you aren't allowed, it tells you who is.
  • Starting a sync needs an Owner or Admin.
  • Initiatives it creates are owned by you, and the audit log records that they were created through the Assistant.

Usage limits

Each account has a monthly allowance of Assistant use, shared by everyone in it. One unit is roughly one question and answer.

  • Free: 50 a month
  • Growth: 1,700 a month
  • Scale: 7,000 a month
  • Enterprise: 35,000 a month

There's also a daily limit, which resets at midnight UTC. The monthly allowance resets on the 1st of each month (UTC).

At 80% of the monthly allowance the panel shows how much your team has used. Owners and Admins are emailed at 50%, 80% and 100%. At 100% the panel says Monthly limit reached and when it resets, and the Assistant stops answering until then. Only Roiva can raise the limit: to raise it sooner, choose Contact Support in the panel or in the help menu (?).

The Owner can see this month's use in the Plan usage card on Organization Settings → Billing.

Where your data goes

The Assistant is powered by Anthropic's Claude. Your messages, and the account data it looks up to answer them, are sent to Anthropic's API to generate the reply. Anthropic doesn't use them to train its models, and neither does Roiva. Your conversations are stored in Roiva until you delete them. The AI transparency and privacy pages have more detail.

Using Roiva from your own AI assistant

On paid plans you can also read your Roiva figures from Claude Code, Cursor or another MCP client. That connection can only read, never change anything. See Connecting Claude, Cursor and other AI assistants (MCP).
