Every initiative keeps a record of what happened to it. Notes add what that record can't know on its own: why something was decided, or what's holding the work up.

Where to find activity

  • One initiative: open it and choose the Activity tab. The newest events come first. A dot on the tab means something has happened since you last opened it.
  • Home: the Recent activity section shows the latest few events from the last two weeks. Your own notes and stage moves are left out there. See Home, search and notifications.
  • Every initiative: from Home, choose View all activity. The Activity page shows the same events across the whole account, 25 to a page, each under its initiative's name, with nothing left out. You can search by initiative, connection or the words of a note, and filter by Initiative or User.

What the feed records

Roiva adds a line whenever something changes on an initiative. Each line names who did it, or says "Roiva" when the change was automatic:

  • The initiative being created, and the template it came from, if any
  • Stage changes and completed approval steps
  • Value entries submitted, approved, auto-approved, held for review or disputed
  • Cost entries logged, recurring costs added, changed or removed, and cost suggestions applied
  • Implementations added, removed or changing status
  • Connections linked or unlinked, and vendor changes
  • Documents added or removed
  • Fields Roiva filled in for you, and auto-configure runs
  • Notes, and blockers being resolved or reopened

Adding a note

On an initiative's Activity tab, choose Add Note. On the Activity page, choose Add Note and pick the initiative. Choose a Note type, write the note, then choose Add Note.

  • General: anything worth writing down
  • Decision: what was decided, and why
  • Blocker: something holding the work up. It flags the initiative until someone resolves it (see below).
  • Update: progress news

Every other line in the feed has an Add Note link under it, which opens the same short form in place. Anyone on the account (Owner, Admin or Member) can add a note to any initiative.

A new note counts as activity on the initiative. An initiative with no activity for 30 days is flagged as dormant.

Replies

Choose Reply under a note to answer it. Replies sit in a thread under the note, one level deep. A reply takes its note's type, and it doesn't add a line of its own to the feed.

Editing and deleting a note

The ⋮ menu at the top right of a note has Edit and Delete. Edit lets you change the note's type or text; choose Save when you're done. Deleting removes the note and its replies, and the feed shows "Note deleted" where the note was. Replies can't be edited or deleted on their own.

Only the note's author, or an Owner or Admin, can edit or delete a note. Members don't see Edit or Delete on anyone else's notes. A note with no author, such as one in the sample data, can be changed only by an Owner or Admin. Editing a note doesn't send it to Slack or Teams again.

Changing a resolved Blocker into another type drops its Resolved mark, since only a blocker can be resolved. The feed still records that it was resolved.

Blockers

While a Blocker note is open, its initiative is flagged:

  • A blocker chip shows on the initiative's row in Initiatives, and in the Initiatives list on Home. Hover over it to see why. A row shows up to three chips and collapses the rest into +N.
  • The initiative counts toward Home's "initiatives flagged" link, and it's included when you open the Initiatives list on the Readiness lens and filter Gap to Flagged.
  • If you open it from a flagged row on Home, the initiative shows a Flagged for attention banner with a See the blocker button.

Only initiatives that aren't Completed, Rejected or Dismissed are flagged. Blockers don't add a row to your Inbox.

When the blocker is no longer in the way, choose Mark resolved on the note. The note stays in the feed, marked Resolved with who resolved it and when. The flag clears, and the feed records that it was resolved. To put the flag back, use Reopen Blocker in the note's ⋮ menu. Anyone on the account can resolve or reopen a blocker, whoever wrote it. Only the blocker note itself flags the initiative: replies in its thread don't.

Slack and Microsoft Teams

If you've connected Slack or Microsoft 365 for notifications, new Decision, Blocker and Update notes are posted to the channel with the initiative's name, the note and its author. This only happens if Notes is ticked on that connection. General notes and replies are never sent. See Managing a connection.

Finding notes later

The search box finds notes by their words and lists them under Notes. A note found this way opens on its own page, with Edit and Delete if the note is yours or you're an Owner or Admin, and, for a blocker, Mark resolved or Reopen blocker.

Asking the Assistant

You can ask the Roiva Assistant to add a note to an initiative. It saves a General note in your name, which shows in the feed like any other, but isn't sent to Slack or Teams. For a Decision, Blocker or Update note, add it yourself. When you ask the Assistant about an initiative, it also reads that initiative's most recent notes. See Using the Roiva Assistant.
